How AI Dispatchers collects, uses, and protects information — for our customers and for the callers our AI voice agent speaks with.

AI Dispatchers (‘we,’ ‘us’) provides an AI voice agent that answers calls, books appointments, and sends follow-up messages on behalf of businesses (‘customers’). This policy explains what we collect from our customers and from the people who call them, and what we do with it.

Information we collect

  • Account information — name, business name, email, phone number, and billing details you provide when you sign up.
  • Configuration data — the services, pricing, hours, and scheduling rules you give us so the agent can represent your business.
  • Caller information — when the agent handles a call, it may collect the caller’s name, phone number, reason for calling, and appointment details.
  • Call content — audio recordings and/or written transcripts of calls handled by the agent, used to complete bookings and improve accuracy.
  • Usage data — logs, device and browser information, and dashboard activity.

How we use information

We use information to operate the service: to answer and route calls, book and confirm appointments, send messages, power your dashboard and analytics, provide support, process billing, maintain security, and meet legal obligations. We do not sell personal information.

Call recordings & transcripts

Because our service answers phone calls, calls may be recorded and transcribed. Recording laws vary by state and country — some require all parties to consent. As the business using the service, you are responsible for any call-recording disclosures and consent required for your jurisdiction, and we provide configurable greetings to help you give notice. We process recordings and transcripts to deliver the service and may use de-identified data to improve accuracy.

SMS & messaging

When the agent sends texts (such as confirmations and reminders), we process the recipient’s phone number and message content. Messaging is sent under registered A2P 10DLC campaigns, includes business identification, and honors opt-outs — replying STOP ends messages automatically. We only message people who have a relationship with, or have opted in to, the business being represented.

How we share information

  • With your business — caller and booking details are shared with the customer whose calls the agent answered.
  • Service providers — telephony, cloud hosting, messaging, and payment partners who process data on our behalf under contract.
  • Legal & safety — when required by law or to protect rights and safety.
  • Business transfers — in connection with a merger, acquisition, or sale of assets.

Data retention

We keep information for as long as needed to provide the service and meet legal, tax, and security obligations, then delete or de-identify it. Customers can request deletion of caller data associated with their account.

Your rights & choices

Depending on where you live, you may have the right to access, correct, delete, or port your personal information, or to object to certain processing. To exercise these rights, contact us using the details below. Callers can ask the business they contacted, or us, to access or delete their information.

We protect information with encryption in transit and at rest, access controls, and monitoring. See our Security page for more. No system is perfectly secure, but we work hard to safeguard your data.
